Crewley business enquiries
This notice explains how we use information from business enquiries, including our Facebook and Instagram lead forms and enquiries sent by email.
Who is responsible
Crewley is operated by Gavin Winstanley trading as Crewley. Gavin is responsible for the personal information described in this notice.
Email: gavin@crewley.ai
Business address: 252 Park Road, Liverpool, Merseyside, L8 4UE, United Kingdom
Business telephone: 0151 726 0622
What we collect and why
Our Meta enquiry form is for independent optical practice owners, managers and people opening or acquiring a practice. It asks for your name, email address, practice name, role, the task you would like to improve and your follow-up preference. We also receive source and submission details, such as the form or advertisement involved and when the enquiry was submitted.
We use this information and any correspondence you send to answer your enquiry, organise the discussion and consider what Crewley could help with. Gavin handles the business discussion. This is an enquiry about your practice's operations; please do not send patient records, health information, passwords or other sensitive details. Any access or processing needed for a project is agreed separately.
Email replies and your follow-up choice
We respond to your enquiry by email. If you choose “Reply and send up to two follow-up emails about this enquiry”, we may send those further emails about the same enquiry. If you choose “Reply to my enquiry only”, we do not add you to that follow-up sequence. An enquiry does not subscribe you to a general mailing list.
You can ask us to stop at any time by replying to an email, using its unsubscribe link or contacting gavin@crewley.ai. We stop scheduled follow-ups when you reply or ask us to stop.
Our legal basis
We rely on our legitimate interests in answering business enquiries and managing prospective business relationships. We use the information needed for that purpose while taking account of your rights and expectations.
For the optional follow-up emails, we rely on your consent. You can withdraw it at any time using the contact methods above. Withdrawal does not affect the lawfulness of processing before you withdrew consent.
You can object to the use of your information for direct marketing at any time, and we will stop that use.
The services involved
Meta provides the Facebook and Instagram lead forms. Information you submit is transferred to our dedicated Crewley customer-management workspace provided by HighLevel, where we organise enquiries, correspondence and preferences. We also use Google Workspace for business email and correspondence. These providers and their service providers process information as part of delivering their services.
Meta also processes information under its own privacy policy: Meta privacy policy.
International processing
These services can involve processing outside the United Kingdom, including in the United States. HighLevel's and Google's data-processing terms provide for recognised international-transfer arrangements, including applicable adequacy arrangements and contractual safeguards where required. HighLevel's terms include the UK International Data Transfer Addendum; Google's terms include the contractual safeguards applicable to UK transfers.
You can contact gavin@crewley.ai for more information or a copy of the relevant safeguards. Provider information is available here:
HighLevel: HighLevel data-processing agreement
Google Workspace: Google Workspace data-processing terms

How long we keep enquiry information
For enquiries that do not become customers, we review the information six months after the last meaningful contact. We delete it at that review unless there is an active discussion, an unresolved dispute or a legal obligation requiring us to keep it. Where we retain information for one of those reasons, we review it again when that reason ends.
If you ask us to stop contacting you, we keep the minimum information needed to respect that request, such as your email address and opt-out preference. We review whether that suppression record is still needed at least annually. We explain any separate arrangements for customer or project records when a project begins.
Your information rights
You can ask for access to your information or for inaccurate information to be corrected. Depending on the circumstances, you may also have rights to deletion, restriction, objection and data portability. Contact gavin@crewley.ai to make a request.
You can complain to the UK Information Commissioner's Office: Complain to the Information Commissioner.
Website analytics and cookies
We use Google Analytics to understand how people find and use crewley.ai, for example which pages are read and which site or advert a visitor came from. It only runs if you choose Accept in the cookie bar. If you choose Decline, or make no choice, Google Analytics does not load and sets no cookies.
If you accept, Google Analytics sets cookies on your device and receives information such as the pages you view, the time of your visit, your device and browser type, your approximate location and the referring site. We record when someone clicks an email link or prepares an enquiry draft, but we do not send your name, email address or enquiry answers to Google Analytics. Google provides Google Analytics as our service provider under its data-processing terms, and its processing can take place outside the United Kingdom under the transfer arrangements described above. We keep Google Analytics data for 14 months.
We rely on your consent for Google Analytics. You can change your choice at any time with the Cookie settings link at the bottom of every page. Your choice is stored in your browser so we do not ask on every page, and we ask again after about six months.
We also use Cloudflare Web Analytics, which counts page visits without cookies and without identifying you.
The website email composer
The tool at crewley.ai/enquire/ prepares an email draft in your browser. It does not submit your answers to a website database. Your answers are held in the current page; refreshing or closing it may clear them.
Opening the draft passes its contents to your email application. Copying puts it on your clipboard. Downloading saves a text file on your device. You decide whether to send the email to gavin@crewley.ai.
Once you send an enquiry, the handling described in this notice applies as relevant. A website enquiry email does not give us the optional Meta follow-up permission unless you separately request those follow-ups.
